Like the planning of the events, publicity for them requires long-term strategy. Mainly because we live in a very fast paced, over scheduled society. The first event written on our personal calendar is often the one we attend. Do not let a lack of information or advance planning spoil your program with poor attendance!
The following is a sample handbook for your publicity chairman.
AREAS OF RESPONSIBILITY
NEWSLETTER
Pink page(s) inserted in The Church Newsletter, and mailed to the home of each member and regular attendee on a certain day of each month. This is the major vehicle of communication for women in the church. Its purpose is to INFORM about the upcoming women’s ministry events and EDUCATE about women’s ministries. It must be submitted, COPY READY, to the printer by a certain date. If mailing is simply out of the question, this may be inserted into the Sunday bulletin.
ELECTRONIC NEWSLETTER
The newsletter may be published utilizing email. The list of email addresses will need constant revision to remain current.
BULLETIN BOARDS, POSTERS
Bulletin boards or posters are used to announce women's activities in an attractive, timely manner, providing sufficient information and revealing something about the theme and purpose of each program. Available boards are described and locations given here.
SCRAPBOOK
The scrapbook functions as a women's ministry history book. The Publicity Chairman is responsible for seeing that photographs are taken at each activity or program and then attractively arranged and noted in the scrapbook. Remember to include yearly leadership council pictures.
PUBLIC ANNOUNCEMENTS
Sometimes announcements from the pulpit are warranted (and always desirable). Speak personally with the Worship Leader or Pastor and always provide him in advance with the written, EASY TO READ, information he will need. Make an extra copy and have it available in case the first is misplaced or forgotten by a busy pastor who needs gently reminding. Announcements given by other individuals to the whole church require careful construction as well. Make sure more than one person reads and approves whatever announcement is made. This is just a wise precaution.
SUNDAY CHURCH BULLETIN NOTICES
The Church bulletin is often an additional avenue for advertising and informing about women's activities. All ministry flyers and bulletin notices must be submitted to and approved by the Publicity Chairman before publication. For publication in the bulletin, copy must be submitted to the church office on a certain date.
FLYERS AND BROCHURES
Usually, these are used only for major activities. They usually need to be scheduled and approved by the church office well in advance, if your printing is done there. Remember to insure that there is enough of the right color of paper on hand for your flyer in advance. Flyers must be submitted, PRINT READY, to the church office on a certain date.
