Publicity Part III

1. The same paper color is used for publicity with rare exceptions. This has a logo effect and women will recognize it as information for them if it always appears on pink (or lilac) paper and is the only church ministry that uses that color paper. If the expense of multi-color printing were not so prohibitive, white paper with some colored ink would possibly be more interesting and crisp in appearance. But, we always have to be budget wise.


2. Utilize the ministry logo at every possible opportunity. Women will and should be looking for it to receive information they will need.


3. Scheduling is of prime importance and a master calendar is essential to timely publicity. This must be carefully coordinated with the church office for publication needs. Develop a method of announcing (briefly) months in advance the activities that will include all the women of the church. Events should be publicized in detail at least two months before they take place.


4. Present each individual notice with total clarity, and the information must be complete enough that someone from Mars reading it for the first time would receive adequate information to consider participating. For accuracy in fact, it is a good policy to ask other experienced people to read each item before printing. In addition, have someone read it that is very good at proof reading copy for grammatical accuracy. Note that these are two different reasons to proof read. I know I learned this one the hard way!

5. A theme with Scripture should be developed by the ministry person responsible for most programs, communicated to the Publicity Chairman, and carried throughout the newsletter, posters, bulletin boards, and all means of publicity.


6. Each item for publicity must answer the following questions:

  • What is it?
  • Why should I attend?
  • Who is on the program? (Biographical sketches)
  • Why is the speaker qualified to speak on this subject?
  • Where is it? (Need a map?)
  • Are there any special parking instructions?
  • Which door do I enter?
  • When does it start and end? (Time and date)
  • What does it cost and how do I pay?
  • How do I sign up or make reservations?
  • What is the deadline?
  • How can I get more information?
  • Is a nursery provided? How do I make nursery reservations?
  • Is a specific type of attire important?


7. Use any and all women’s functions to advertise future ones, either by announcement, skit, or any tasteful, well-executed, creative means.


8. A tremendous amount of the information you need for publicity will come from leadership council meetings. Be there, or designate an assistant to be there from beginning to end and ask many specific questions. Use the list in item #6, and take copious notes.
