Job Title: Administrative Assistant

Reports to: Director of Operations

Supervises: N/A

Employment Status: Part-time exempt (6-12 hours/week)

Rate of Pay: $15.00/hour

Position Summary: The Administrative Assistant reports to the Director of Operations. The Administrative Assistant is responsible for most administrative and office work.  Applicant must be detail oriented, self-motivated, ability to prioritize, have strong organizational skills and ability to work with volunteers as well as be a team player. The administrative assistant should be skilled at working within Google Suite and Microsoft Office programs. The admin must have excellent editing skills.

Examples of Duties & Responsibilities:

  • Daily Responsibilities (1 hours/week)

    • Sorts through incoming mail

    • Answers phones, listens to voicemail, calls people back.

    • Reads and responds to email and social media comments

    • Mails packages

  • Weekly Responsibilities (6 hours/week)

    • Edits Daily Treasure devotions

    • Uploads the Daily Treasure posts onto SquareSpace and schedules them for release

    • Edits all MARKINC publications

  • Monthly Responsibilities (3 hours/week)

    • Action based notes at the bi-monthly Thursday staff meetings and emails notes to the staff

    • Keeps the Google Calendar up-to-date with all events, staff deadlines/alerts, and project timelines (2 hours/month)

    • Edits thank you notes for one-time givers, prints the notes and signs them on behalf of the Executive Director and mails them.

    • Completes a mail merge and mails the monthly Thank You Letter/Update

    • Inventory and orders office supplies

  • Quarterly Responsibilities (2 hours/week)

    • Completed all mass mailings and scheduled and oversees volunteer teams whenever possible

    • Follows up with persons/organizations with Resource Displays and ensure news flyers are sent when needed

  • Yearly Responsibilities

    • Golf Event - helps with research, ordering supplies, assists with mailings, prepares materials/gifts and any other needed support.

    • Spring Benefit - assist with research of talent and venue, marketing, mailings, tracking, printing needed materials, organizing supplies and any other needed support.

  • As needed responsibilities

    • Alerts Reach Church secretary when rooms at Reach Church need to be reserved.

    • Assist all Directors where needed, when hours permit

  • When time permits:

    • Transcribes Help & Hope audio resources and send them to the Director of Operations to be added to the website

You do NOT need to be available all of these times, but we are wondering if and when you are able to work from the office? You do however, need to be free to work from the office on Thursdays from 10-1pm.
